There’s another problem with putting a lot of words on your slides: You’ll be tempted to read those words to your audience. Nothing (let me repeat: Nothing) sucks the life out of a presentation faster than watching someone read their own words out loud.
It’s too late to fix that mistake but I can pass on what I know to you, right now. The reason you want to take that course is because these changes won’t help you give the right presentation or even give you great slides: This advice is merely preventative. These are the four steps that will keep your slides from sucking the life out of your presentation.
2. Have One Main Point per Slide
One of the great things about graphics is that the brain processes them much, much faster than your words. A graphic, therefore, makes your point quickly, allowing you to then explain and expand on the point that the graphic has already, in part, made. And, because your audience has processed the graphic quickly, that processing doesn’t interfere with your audience listening to you.
A PowerPoint presentation is not a document. A presentation is you speaking to another group of people. Your audience isn’t there to read — they’re there to listen to you. If your slides flood your audience with words, your audience will be torn between hearing and reading and, as a result, be distracted and confused. Instead of putting your presentation in your slides, use your slides as your speaker notes. Put enough on each slide to remind you of what you want to say at this point in your presentation. Then stop.
I think we can all agree that the PowerPoint slide in the picture is truly ugly. I’m embarrassed to say that, recently, one of my sons created a whole presentation made up of slides like that.
It's ideal to apply a logo to the slide master itself, for example. This will keep the logo the same size and in the same position on each slide.
All of the main text elements on this slide are aligned consistently to the left edge of their box.

8. Use the Alignment Feature
The design of your presentation matters just as much as the content of your presentation. That’s why you need to devote an equal amount of time to making sure the design of your presentation is on point as you do to the actual content. Familiarize yourself with best design practices and keep them in mind as you go about customizing your template.
The slide master controls the design for your PowerPoint slide. Instead of making the same change to each slide, apply a change to a slide master. It'll affect all the PowerPoint presentation slides that use the same master.
When it comes to visualizing data in presentations, we have to remember that our audience does not need all the fine details of the data - they need the main takeaway and we need to make sure that's evident to them when looking at the slide.
While we can’t tell you exactly how much this will reduce your file size since each presentation will be different, it’s worth a shot.
In general, unless you are sure you need to display a particular font, we recommend turning off font embedding.
Your PPT file will now be converted to a PPTX file. As you can see, the size of the file has been reduced.
HTG Presentation 2 is our PPT file, and HTG Presentation 3 is our PPTX file. Merely converting the file type reduced the size by 335 KB.
Copy Everything Into a New Presentation
Head over to the “File” tab and select “Options” at the bottom of the left-hand pane.
If you don’t have an image editor (you do) or you simply must use PowerPoint, be sure to tell PowerPoint to discard all of that excess data saved from the edits. It won’t save you as much space as working in a dedicated editor, but it will help.
In Rob’s testing with his Word document, it successfully reduced the size of the file from 721 KB to 72 KB. However, it corrupted the file in the process. In my testing with my 2,614 KB file, it didn’t corrupt it, but it only reduced it to 2,594KB—a total of only 20 KB. We’re unsure what’s at play here, so if you want to give this a go, be sure to have a backup copy of your file before doing so.
Each time Office uses AutoRecover, it adds a little to the size of the file. To turn AutoRecover off, head over to the “File” tab and select “Options” found at the bottom of the left-hand pane.
